Privacy Policy

GuidedPIP is a tool designed to help you organise your own notes when preparing a Personal Independence Payment (PIP) application. This Privacy Policy explains what information we collect, how we use it, and your rights.

What we collect

  • Account information: your email address (used to create and manage your account).
  • Your content: notes and text you choose to enter into GuidedPIP.
  • Payment information: payments are processed by Stripe. We do not store your full card details.
  • Technical data: limited technical information needed to operate the service securely (for example, authentication/session data).

What we do not do

  • We do not sell your personal data.
  • We do not access your NHS records or DWP records.
  • We do not submit anything to the DWP on your behalf.

How we use your information

  • To provide and operate the GuidedPIP service.
  • To save and retrieve your notes across devices.
  • To manage Premium access when purchased.
  • To maintain security, prevent misuse, and keep the service reliable.

AI features

GuidedPIP includes optional AI-assisted features to help organise or re-phrase text you have written. These features are reference-only and do not provide medical, legal, or benefits advice.

When you use AI features, relevant text you provide may be sent to our AI provider (OpenAI) in order to generate a response. We recommend that you only include information you are comfortable sharing for this purpose.

Services we use (processors)

We use trusted third-party services to operate GuidedPIP:

  • Supabase – authentication and database hosting (stores your account and saved notes).
  • Stripe – payment processing (handles payment securely; we do not store card details).
  • OpenAI – AI text generation (only used when you choose to use AI features).

Lawful basis for processing

We process personal data to provide the service you request (contract), to operate the service securely and reliably (legitimate interests), and where required to meet legal obligations (for example, basic financial records related to payments).

Data sharing

We share information only where necessary to operate GuidedPIP (for example with Supabase, Stripe, and OpenAI as described above). We may also share information if required by law.

Data retention

Your notes and account data remain associated with your account unless you delete them or request removal. Some information may be retained for legal or security reasons (for example, records required for payment/accounting or to prevent fraud).

Your rights

Depending on your circumstances, you may have rights to access, correct, delete, or restrict processing of your personal data, and to object to certain processing.

Security

We take reasonable steps to protect your data using industry-standard security practices, including authenticated access controls. No method of storage or transmission is 100% secure, but we aim to protect your information appropriately.
